Choosing an Industrial Maintenance Contractor: Questions That Actually Predict Performance
Capability lists all look the same. These are the questions that separate a contractor who will close your scope from one who will manage it.
Every industrial maintenance contractor presents a similar capability list. Reading two proposals side by side rarely tells you which one will actually keep your plant running. The distinguishing information is usually available — it is just not in the brochure.
1. Which disciplines do you self-perform?
This is the single most useful question. A contractor who self-performs mechanical and electrical work can diagnose a fault in one visit. A contractor who subcontracts one of them will diagnose in two visits, with a commercial conversation in between. Ask specifically: mechanical, electrical, fabrication, machining — which of these are your own people?
2. Can you manufacture a replacement part?
On older or imported equipment, part availability determines downtime more than repair skill does. A contractor with a machine shop and fabrication shop can produce a shaft, bush, pulley, chute or bracket while the equipment is stripped. Without that, the repair is limited by a supplier lead time.
3. What will you hand over when the job is finished?
Ask what documentation comes back. Test results, measured clearances, alignment readings, as-built drawings and a written list of what was found but not repaired. A contractor who records findings is giving you the information to plan next year's budget. One who reports only completion is giving you nothing to plan with.
4. How do you handle a fault you did not expect?
Scope changes are normal on maintenance work — a component looks fine until it is stripped. What matters is the process: is the client informed and given options with cost implications before work continues, or is the first notification an invoice? Ask how the last three variations on similar work were handled.
5. How do you plan a shutdown?
Ask when the scope is fixed, when parts are ordered, when fabrication is done, and how the trades are sequenced inside the window. A contractor who plans fabrication before the shutdown and sequences work to avoid trades waiting on each other will get more done in the window than one with more people on site.
6. What happens at two in the morning?
Breakdown response is worth establishing before you need it. Who is called, what is the realistic mobilisation time to your site, and what capability arrives on the first visit — one trade or several?
7. Who supervises the work?
Ask who is actually on site supervising, how often, and who the site team reports to. Work quality on industrial maintenance tracks supervision more closely than it tracks any other single factor.
What to be cautious about
- Certifications or approvals claimed without documentation you can verify.
- Prices materially below the rest of the market for a scope defined the same way — usually the scope is not defined the same way.
- Reluctance to put the scope of work in writing before starting.
- An inability to say what they do not do. Every contractor has boundaries; one who claims none has simply not thought about yours.
Start with a small scope
The most reliable evaluation is a real job. Award a defined, bounded piece of work — a motor overhaul, a fabricated item, a single machine repair — and observe how the scope was agreed, how communication went when something unexpected appeared, what was handed over at the end, and whether the completion date held. That tells you more than any pre-qualification document.
